Common Issues & Resolutions
Issue: Unable to locate Application Reference Number
Resolution: The Application Reference Number (ARN) is transmitted to the registered correspondence address upon successful submission. If the Applicant is unable to locate this communication, it is recommended to check spam/junk folders. If the number cannot be recovered, a retrieval request may be submitted via the Contact Us portal including the full legal name and email address registered on the declaration.
Issue: Status shows 'Pending' for more than 72 hours
Resolution: While standard processing is typically completed within 72 hours, certain declarations may require extended review due to enhanced screening requirements, data verification, or elevated submission volumes. If the status has not updated within 96 hours and no request for additional information has been received, the Applicant may submit a formal status inquiry through the Contact Us portal.
Issue: Error during payment processing
Resolution: If a payment error occurs, the Applicant should verify: (a) the payment instrument is valid and not expired, (b) sufficient funds are available, (c) the card issuer has not blocked the transaction due to fraud prevention protocols. If the issue persists, the Applicant may attempt an alternative payment instrument or contact their financial institution. In the event of an erroneous double-charge, a refund request should be submitted immediately.
Issue: Incorrect data submitted in non-modifiable fields
Resolution: Non-modifiable fields (name, passport number, date of birth, nationality) cannot be amended within an existing declaration. The Applicant must submit a cancellation request for the current declaration and initiate a new submission with the correct data. Refund eligibility for the cancelled declaration is determined by the applicable provisions of the Refund Policy.
Issue: Declaration expired or passport renewed
Resolution: An ESTA linked to an expired passport is no longer valid, even if the two-year ESTA validity period has not elapsed. Upon issuance of a new passport, the Applicant must submit a new ESTA declaration linked to the new travel document with the applicable administrative levy.
